The Fleet Personnel Coordinator provides administrative, compliance, and insurance-related support to the Fleet Personnel team, with a focus on MLC compliance, documentation control, and coordination between internal and external partners.
Job Responsibilities
1. Fleet Personnel Administration
- Provides in-office support to visiting sea staff to ensure smooth coordination during visits.
- Maintains crew-related filing systems, briefing folders, circulars, contracts, safety manuals, and other FP documentation.
2. Documentation and System Management
- Maintains the Vessel Certificate Repository and ensures certificates required for fleet personnel operations are updated.
- Ensures accurate and current data in crew management systems and Compas entries.
- Supports document control and compliance archiving in systems such as SAILS.
3. Manning Partners Support
- Supports Regional Crewing Representatives in coordinating with manning partners and assists with manning partners’ documentation requirements.
- Executes and maintains BIMCO agreements with global manning agents, assists with documentation, compliance, and regulatory support for vendor contracts.
- Assists with coordinating seafarer engagement events, forums functions.
4. MLC Compliance Coordination
- Supports implementation and oversight of Maritime Labour Convention (MLC) requirements
- Assists with preparation, issuance, tracking, and maintenance of MLC documentation including DMLC, MSMC, and related certificates
- Maintains MLC policies, reference documents, and compliance records in relevant systems
- Administers the MLC Tracking Log and related documentation, ensuring all MLC records are maintained, updated, and accessible
- Supports management of crew complaint logs and grievance follow up by logging complaints, tracking progress, and coordinating necessary actions.
5. Crew Claims Coordination Support
- Assists with distributing certificates for MLC-related P&I Financial securities, Unions registration certificates (Blue/Green cards), claims preparation, and documentation required by insurers.
- Supports crew claims functions by collecting incident reports, verifying required documentation, liaising with Marine Claims, and internal departments.
- Supports quantitative tracking by preparing insurance-related KPI inputs and trend summaries.
Requirements:
- Minimum 2 years of administrative or crewing related experience in a marine or operational environment.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple deadlines and perform well under time pressure and fast changing operational demads (claims, audits, vessel deviations).
- Strong analytical skills, excellent attention to details.
- Excellent written and verbal communication skills.
- Ability to work independently.
Qualifications considered as an asset:
- Experience with MLC documentation, audits, or crew compliance processes.
- Familiarity with marine insurance processes, or claims documentation.
- Ability to work effectively with international stakeholders and manning partners.
- Sailing experience on container vessels
Compensation and Benefits Package:
Seaspan’s total compensation is based on our pay-for-performance philosophy that rewards team members who deliver on and demonstrate our high-performance culture. The hiring range for this position is $60,000 - $65,000 CAD per annum. The exact base salary offered will be commensurate with the incumbent’s experience, job-related skills and knowledge, and internal pay equity.
