Human Resources Coordinator ( 9 Months Contract )

Position Description:

The Human Resources Coordinator provides administrative support to the Seaspan Ship Management Ltd. Human Resources department. This position works closely with other members of the HR team and provides front-line support for several HR functions, including general administration, recruitment, employee relations, and corporate governance. This position is responsible for maintaining employee records in Success Factors and providing basic support to users.

 

Job Responsibilities:

  • Provides HR administration and coordination services, including maintaining company records, employee contracts, performance management documents, and updating the intranet 
  • Maintains employee related data, including contractor and temporary arrangements, work permit expiry, probation periods in Success Factors and other trackers 
  • Supports the recruitment process, including drafting offer letters, and processing background and reference checks 
  • Conducts onboarding activities including initiating system access, communicating new hire activities with IT & Office Services, supporting the probation process, arranging new hire orientation and coordinating the New Hire survey  
  • Coordinates and reviews new hire documentation for Total Rewards team prior to benefit and payroll administration 
  • Assists Success Factors users with basic troubleshooting. Ensures data integrity and accuracy by regularly updating user records and managing user access 
  • Supports offboarding procedures and ensures appropriate documentation is signed and filed 
  • Supports employee relations, including responding to employee requests, queries and suggestions, and helping prepare employee events and activities 
  • Participates in the generation and preparation of scheduled and ad-hoc HR reports, including the gathering and validation of data from Success Factors and other sources 
  • Supports the relocation of employees transferring to the Vancouver office including arranging transport from YVR airport, booking temporary accommodation, and tracking relocation expenses 
  • Creates HR correspondence, including letters for employees e.g. employment verification, reference letters, visa support documents 
  • Supports routine HR processes such as performance management, compensation cycle, and ad hoc projects as they arise

 

Requirements:

  • 1-2 years of experience in an administrative HR role or equivalent 
  • Strong administrative skills and at least 1 year of office experience 
  • Good verbal and written communication skills, and writing style 
  • Proficiency with Microsoft Office suite (including Outlook, and Word 
  • Sound organization skills 
  • Attention to detail

 

Additional Desired Qualifications:

  • Undergraduate degree with some HR component preferred 

  • Familiarity with Success Factors  

 

Job demands and/or physical requirements: 

  • Periodic overtime to meet deadlines or accommodate time zone differences

 

Compensation and Benefits package: 

Seaspan’s total compensation is based on our pay-for-performance philosophy that rewards team members who deliver on and demonstrate our high-performance culture. The hiring range for this position is $54,000 - $61,000 CAD per annum. The exact base salary offered will be commensurate with the incumbent’s experience, job-related skills and knowledge, and internal pay equity. In addition to base salary, we offer a competitive total rewards package which includes an annual performance-based bonus, a comprehensive benefits package (extended health, dental, life and disability insurance), retirement savings plan matching and other company-provided rewards.
