Role Overview:

The Dry Dock Coordinator is a pivotal role in the Dry Dock cell, combining financial management and operational support responsibilities. The individual will be integral in preparing cost bid sheets, managing drydock-related financial and operational documentation & reports, liaising with shipyards, and ensuring the effective closure of all drydock activities within a 6-month post-drydock timeframe.

Job Responsibilities:

Pre-Drydocking Activities:

  • Maintain a detailed plan of fleet drydock dates and ensure that pre-drydocking planning activities commence promptly.
  • Regularly Check / Liaise with the Classification society to have full clarity on DD dates
  • Coordinate with relevant stakeholders (Ops / Asset / Commercial / DD cell) to ensure timely preparation of detailed pre-drydocking requirements.
  • Help the DD cell in preparing/reviewing the DD Frame agreements in consultation with procurement and other stake holders

Financial Management:

  • Prepare and maintain detailed cost bid sheets for drydock or Retrofit projects, ensuring accuracy, completeness, and alignment with budget estimates.
  • Oversee financial documentation related to drydock activities, including invoices, purchase orders, vendor agreements, and payment records.
  • Follow up on pending invoices, ensuring timely reconciliation with major vendors, shipyards, and contractors.
  • Assist in cost control and budget monitoring during the drydock process to avoid overruns and identify potential savings.
  • Prepare and submit SSR (Ship Status Report) financial data for the Fleet team as required.

Drydock Documentation and Reporting:

  • Compile and maintain complete drydock documentation, including ECs, inspection reports, contracts, technical records, and compliance certificates.
  • Prepare and submit drydock financial reports, summarizing incurred costs and aligning them with approved project budgets.
  • Ensure all closure comments from the Operations team are addressed and resolved promptly and accurately reflect the drydock activities.

Operational Support:

  • Act as the primary liaison between the Dry Dock Cell, shipyards, and other stakeholders, ensuring effective communication and coordination throughout the Dry Dock process.
  • Provide comprehensive logistical and administrative support to the DD Cell, including scheduling meetings, correspondence, and tracking project milestones.
  • Visit shipyards as required to oversee or support drydock operations, address on-site issues, and ensure smooth execution of project requirements.

Post-Drydock Closure:

  • Ensure all drydock-related activities are closed effectively within the specified 6-month timeframe post-drydock.
  • Follow up on any pending financial or operational issues and ensure compliance with company policies, legal requirements, and timelines.
  • Prepare and submit final reports, including cost summaries, operational outcomes, and recommendations or lessons learned for future drydock activities.

Regulatory and Compliance Support

  • Ensure all financial transactions and reports comply with company policies, auditing standards, and external regulatory requirements.
  • Maintain accurate records to facilitate smooth internal or external audits related to drydock activities.
  • Ensure compliance with maritime and environmental regulations, supporting documentation for inspections and certifications.

Qualifications & Skills: 

Education and Experience:  

  • Diploma in or equivalent ( Finance , Accounts or Engineering)
  • Minimum 3 years of experience in maritime operations, shipyard operations, or shipyard/dry-dock financial management.
  • Familiarity with shipyard operations, cost management, invoicing processes, and financial reporting would be an added advantage.

Technical Skills:

  • Proficiency in MS Office packages, especially MS Excel skills for cost analysis, bid preparation, and reporting.
  • Strong understanding of CAPEX processes, including budgeting, vendor management and invoice reconciliation.
  • Knowledge of drydock workflows, documentation requirements, and project costing.

Soft Skills:

  • Exceptional organizational and time-management skills to handle multiple tasks and meet deadlines.
  • Strong communication and interpersonal skills for liaising with shipyards, vendors, and internal teams.
  • Analytical mindset with high attention to detail for preparing cost sheets, negotiations and financial reports.
  • Ability to work independently and collaboratively within a team.

Other Requirements:

  • Willingness to travel to shipyards, drydock locations, or project sites as needed.
  • Ability to work under high-pressure conditions and flexible hours, especially during critical drydock phases.
  • Must carry a mobile device outside of office hours and check in regularly.
  • Must maintain home internet connection for work outside of office hours.
  • Periodic overtime to meet deadlines or accommodate time zone differences.

Work Environment:

  • A mix of office-based work and site visits to shipyards, drydock facilities, or operational locations.
  • Requires adaptability to fast-paced work environments and managing shifting priorities.
  • Must maintain home internet connection for work outside of office hours.
  • Periodic overtime to meet deadlines or accommodate time zone differences.
