Position Description:
The Fleet Personnel Officer provides a full range of administrative, communications, and organizational support to the Vice President, Fleet Personnel / Head of Fleet Personnel. This position assists with reporting, presentations, analysis and supports the smooth running of the office while maintaining strict confidentiality
Job Responsibilities:

Manage ISO / RPSL Audits & updating ISO Manual

Updates Medical/Life Insurance details for Seafarer and assists Seafarer with any query

Prepares wage scale and roll out a memo to all Manning head and crewing team

Manages long service award of Seafarer

Update DE & uploading manual PAR in Crew Management Software

Vendor Setup in NetSuite

Updating Vessel document on I drive

Report and procedure for payment regarding Seafarer SPFO/ SWFS /IMEC

Provides support for internal and external meetings, preparing and editing documents, reports and presentations, minute taking and distribution

Gathers information from company systems (e.g. Shipmate) to respond to queries, provide ad hoc reports or provide data for reports as required

Prepares or reviews dashboard reporting, metrics, and Key Performance Indicators (KPIs)

Packages and distributes monthly reporting and prepares a SCMIPL Management weekly report minute.

Assists with financial variance reporting as needed.

Maintains filing systems and provides administrative support for the Director, Fleet Personnel / General Manager.

Drafts standard department correspondence e.g. invitation letters

Provides support for projects and forward planning as needed including tracking milestones, due dates, and conducting research as directed by the Vice President, Fleet Personnel / Head of Fleet Personnel.

Assist with preparations for officer’s forums and road shows.

Handles confidential and privileged information appropriately.

Performs other duties as required.
Requirements:

Three or more years of previous working experience in a shipping or crewing company with a similar work profile

Able to work under pressure in a fast-paced environment
-
Proficient with Microsoft Office suite (including Outlook, Word, PowerPoint, and Excel)

Strong verbal and written communication skills and good writing style.
Additional Desired Qualifications:
- Understanding of Quality Management and Management System is an asset.
