Position Description:

The Intern – Crew Operations  Personnel will support the Crew Management team in ensuring efficient handling of seafarer documentation, crew logistics, regulatory compliance, and coordination with vessels, manning agents, and internal stakeholders. This role offers hands-on exposure to end-to-end maritime crew operations within a dynamic, global shipping environment.

Primary Responsibilities:

1. Crew Documentation & Regulatory Compliance
  • Assist in maintaining accurate and up-to-date seafarer records in the Crew Management System.
  • Support verification and tracking of critical documents, including Passports, Seafarer Employment Agreements (SEA), Certificates of Competency (COC) and flag state documentation.
  • Monitor validity of visas (e.g., US C1/D, Australian MCV) and ensure timely renewals.
  • Assist in the authentication process of certificates through issuing authorities.
  • Support preparation and issuance of joining documentation, declarations (e.g., MARPOL), and onboard compliance materials.
  • Ensure all crew documentation is properly scanned, filed, and uploaded into company systems.
2. Crew Planning & Vessel Coordination
  • Assist in maintaining regular communication with vessels regarding crew sign-on/off schedules and related personnel matters.
  • Support preparation and dissemination of joining and relief plans based on inputs from planners.
  • Coordinate receipt and circulation of handover notes for key ranks.
  • Assist in addressing routine queries from vessels and coordinating responses with relevant teams.
3. Crew Change & Travel Logistics
  • Provide support in crew travel arrangements, including flight bookings and coordination with travel agents and manning partners.
  • Assist in creating and updating crew change events in company systems (e.g., Compas).
  • Support preparation of crew change communications to port agents (ISS, GAC, etc.).
  • Follow up with agents for clearances such as OKTB and ensure adherence to timelines.
  • Monitor travel execution to ensure timely crew joining while maintaining operational and compliance requirements.
4. Medical & Pre-Employment Processes
  • Assist in arranging Pre-Employment Medical Examinations (PEME) through company-approved clinics.
  • Maintain and track medical reports and certificates, ensuring timely submission for review and approval.
5. Reporting & System Management
  • Support updating crew lists, crew movements, and operational records in Crew Management Systems.
  • Assist in preparing reports for regulatory compliance, including Directorate General (DG) Shipping requirements.
  • Maintain accurate records for internal reporting and audits.
  • Support medical account code applications and updates in systems.
6. Administrative & Operational Support
  • Prepare and dispatch courier packages containing crew and joining documentation to manning agents.
  • Assist in issuing company letters and official communications to seafarers.
  • Support approval process for travel claims, crew change costs, and invoices under supervision.
  • Provide general administrative support to the Crew Operations team and act as a backup when required.

Requirements:

  • Currently enrolled in a Bachelor's or Master's program in Business, Supply Chain, Economics, Maritime Studies, or a related field.
  • Handles confidential and privileged information appropriately.
  • Attentive to details.
  • Proficiency with Microsoft Office suite (including Outlook, Word, PowerPoint and Excel)  
  • Strong verbal and written communication skills, with good writing style, some basic design skills is a bonus
