Training Administrator

Position Description:
Performs various administrative duties to support the training team, helps prepare for the training courses delivered in-house and offsite and provides a warm welcome to officers who are attending training.
Job Responsibilities:
- Is familiar with the Health, Safety, Environmental Protection and Quality Policy (PL-005), and understands the responsibilities under the Environmental Management System (EMS). In keeping with this and other compliance policies, they understand their duty to report any environmental noncompliance and/or concern to their manager or members of the senior management team (including the highest level of management) either directly or through the open reporting system as per Management System guidelines
- Prepares seminar, technical course hand-outs in word, power-point and pdf formats and works with the superintendents in preparing various training materials
- For in-house training, checks the room and equipment is in good order before training courses start. Assists sea staff who are visiting the office for training and works with the admin team to ensure their visit to SCMIPL goes smoothly (e.g. breaks, lunch)
- Manages filing, updating and inventory of various items including briefing folders, marine services memos / circulars / letters, safety management system, fleet circulars, forms, HKMD circulars, contracts and product assessments
- Manages the upkeep and updates of various pertinent publications and documentation e.g. SOLAS, MARPOL, COSWP, IMDG volumes; Charter party folders, ship specific instructions, SOPEP manual, NTVRP, VGP and information on training institutes. Organizes and keeps in good order the training room and library
- Liaises with the crewing teams and overseas manning offices, provides the superintendents with the list of officers for training and briefing during the week. Liaises with the HR team for logistics as necessary
- Enters data in Compas for courses and training conducted by the training department at SCMIPL and/or overseas
- Maintains an active folder of the various training institute curriculum and the various courses which are conducted by various institutes.
- Follows up on issues and progress related to computer based training including, COPES, OLP
- Assists with department reporting. Prepares the monthly/annual training statistics report and monthly expense reports for the training superintendents.
- Performs other duties as assigned including providing back-up for other administrative resources and assists in the smooth operation of the SCMIPL office.
Requirements:
- Educational Qualification – Graduate (Any Stream)
- 1 – 2 years working experience required
- Strong communication (verbal and written) and interpersonal skills
- Sound computer skills and knowledge of Microsoft Office suite
- Attention to detail and a proven track-record in producing accurate, quality work
Additional Desired Qualifications:
- Understanding basics of graphic designing an added qualification
- Experience in a training role or ship management company an asset
Job Demands and/or Physical Requirements:
- Able to lift packages (e.g. courier, training supplies) weighing up to 23 kgs.
- May require some extra hours occasionally to meet deadlines.
