Office Services Coordinator

Position Description:

The Office Services Coordinator is the first point of contact for visitors and callers to the Vancouver office. This role is responsible for front desk reception, guest services, mail and courier handling, and a variety of administrative and facilities support tasks. The OS Coordinator plays a key role in maintaining a professional, welcoming, and efficient office environment. 

 

Job Responsibilities:

 

Reception & Guest Services

  • Answer incoming calls efficiently and professionally. 

  • Greet visitors, vendors, and suppliers in a courteous and professional manner, maintaining confidentiality when responding to queries. 

  • Ensure all non-employees are signed in and verified before allowing access into the office space. 

  • Provide customer service to guests and employees including information, directions, and handling various requests. 

  • Maintain a tidy reception area. 

 

Office Operations

  • Check and stock kitchens daily. 

  • Check and stock copy rooms and meeting rooms regularly. 

  • Coordinate meeting room bookings and assist in resolving scheduling conflicts and meeting arrangements. 

  • Distribute mail and manage incoming packages, including courier tracking and issue resolution. 

  • Order catering and organize monthly and seasonal treat days. 

  • Provide general office support such as ordering business cards and assisting with staff social events. 

 

Safety & Facilities

  • Contact building service centre to place maintenance and janitorial requests as needed. 

  • Work with the Facilities Supervisor to provide a professional, efficient, and welcoming office environment. 

  • Support a safe work environment and follow up on safety-related items. 

  • Participate in monthly OH&S meetings and take minutes. 

  • Act as Emergency Floor Warden. 

 

Administrative Support

  • Code department invoices and process expense forms. 

  • Assist the Corporate Communications department with digital communications related to staff events and company announcements. 

  • Support other department administrators with tasks such as travel arrangements for visiting executives, and other related administrative needs.  

  • Perform other duties as required.

 

Requirements:

  • Strong verbal and written communication skills 

  • Attention to detail and quick to prioritize duties

  • Able to work in a team and be responsive to internal customers
  • Adaptable under pressure in a fast-paced environment
  • Proficiency with MS Office Suite (including Outlook, Word, PowerPoint and Excel

 

Additional desired qualifications:

  • Previous experience in an administrative or reception / front desk role in a corporate environment is preferred 

 

Job demands and/or physical requirements:

  • Periodic overtime to meet deadlines or accommodate time zone differences
  • Able to lift packages (e.g. courier, supplies) weighting up to 20lbs

 

Compensation and Benefits Package:

Seaspan’s total compensation is based on our pay-for-performance philosophy that rewards team members who deliver on and demonstrate our high-performance culture. The hiring range for this position is $54,000 - $60,000 CAD per annum. The exact base salary offered will be commensurate with the incumbent’s experience, job-related skills and knowledge, and internal pay equity.
