Position Description:
The Projects Coordinator will be instrumental in supporting high-cost capital projects. Responsibilities include project development, budgeting and forecasting, monitoring project expenses, and performing administrative functions. This often involves organizing and streamlining processes to enhance efficiency and achieve cost savings. The role requires close collaboration with both internal and external stakeholders, while maintaining strict confidentiality
Job Responsibilities:
- Develops and maintains project models, prepare forecasts and track project costs. Maintain accurate and current information for monthly reporting
- Liaises with the Accounting and Finance team(s) to verify and reconciles monthly work order reports. Ensures cost- and account codes are accurately captured and aligns with project work order structures
- Assists in the preparation of project budgets, monitors expenditures and prepares monthly department variance reports, and forecasts. Follow-up on routine accounting queries and ensures compliance with financial procedures
- Coordinates effectively with agencies, operations, commercial, accounting, site offices and project team members to facilitate job processes
- Responds to enquires and issues; exercises sound judgment where necessary and escalates matters to managers where appropriate
- Manages invoice processing, performs risk management, and monitors for fraudulent activity, codes accurately for approvals.
- Creates, maintains, and updates record-keeping and tracking spreadsheets as required (travel spreadsheets, site office funds/expenses, headcounts, goals, board materials, etc.)
- Coordinates internal and external meetings, conference calls involving multiple time zones
- Analyze project-related processes, recommends enhancements, and assists with implementing changes to improve efficiency and effectiveness
Requirements:
- Bachelor’s degree in business administration , or proven experience in a similar role, preferably in a project-based environment
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office suite (including Outlook, Word, PowerPoint, and Excel) and experience with project management software
- Strong verbal and written communication skills, with great writing style
- High attention to detail and accuracy in project documentation and reporting
Additional Desired Qualifications:
- Prior experience in a ship management company and financial reporting systems and processes would be an asset
- Knowledge of financial principles and practices, including budgeting, cost control, and financial analysis
- PMP or similar project management certification would be an asset
- Able to work under pressure in a fast-paced environment
Job demands and/or physical requirements:
- Occasional overtime to meet deadlines or accommodate time zone differences
- Will be required to check outside of office hours
- Must maintain home internet connection for work outside of office hours
Compensation and Benefits package:
Seaspan’s total compensation is based on our pay-for-performance philosophy that rewards team members who deliver on and demonstrate our high-performance culture. The hiring range for this position is $60,000 - $68,000 CAD per annum. The exact base salary offered will be commensurate with the incumbent’s experience, job-related skills and knowledge, and internal pay equity. In addition to base salary, we offer a competitive total rewards package which includes an annual performance-based bonus, a comprehensive benefits package (extended health, dental, life and disability insurance), retirement savings plan matching and other company-provided rewards.
